Office mandate and responsibilities

The Registrar's Office is the university's official custodian of student academic records, enrollment data, and graduation documentation.

It ensures that records management, certifications, and credential releases are accurate, secure, and compliant with institutional policies.

Organization

The Office of the Registrar

The Registrar manages enrollment records, credentials processing, and academic documentation services.

Students may request certifications, transcripts, and other official records subject to standard procedures.

The College Registrar shall have the following duties and responsibilities:

  1. Facilitate the registration of all students and ascertain the fulfillment of registration requirements;
  2. Reproduce and provide prospectus to requesting students;
  3. Maintain an information system updated student records;
  4. Supervise the preparation of different registration forms and manage distribution of same to students;
  5. Keep an updated record of scholarship grantees;
  6. Evaluate records of students for academic placement, graduation granting of honors or awards;
  7. Prepare diplomas of graduating students and assist in their distribution during commencement exercises;
  8. Prepare and authenticate all student records such as transcript of records, diplomas, and certifications that may be requested by a student; and
  9. Submit reports of student enrolment at the beginning of academic year or semester or as required by the President.

Article 28 — Request for Official Transcript of Records

Guidelines for filing and releasing official transcripts and graduation credentials.

Section 1

Request for the issuance of the Official Transcript of Records (OTR) shall be filed at the Registrar's Office at least five (5) days before the expected date of release of such records.

Section 2

Graduating students are issued their Original Transcript of Records and Diploma during the Commencement Exercises, provided they have accomplished the documentary requirements set by the Office of Registrar including their birth certificate (PSA authenticated), permanent records of the secondary educational institutions, and others.
